Receiving on Cannabis Portal

There are three ways to do Receiving on the portal

  1. Receiving with Vendor’s Invoice downloaded into the system

The receiving Vendor’s Invoice from major vendors such as BCLDB (BC), AGLC (AB), OCS (ON), NCD (SK) can be loaded straight into the system. The steps are: Receiving page>New>Receiving Invoice

Select the Vendor from the pop-up Vendor list

Click the “Import from” button and select:

  • “Invoice” for BC LDB vendors (BC)

  • “AGLC” for AGLC vendors (AB)

  • “ASN” for OCS vendors (ON)

  • “Invoice” for NCD vendors

On the pop-up form, use the “Select File” button to locate the Vendor’s Invoice and click “Continue”

When the invoice gets loaded, please click on “Save Invoice”

Inventory is now added to your stock.

  1. Receiving from existing Purchasing Order

When you have created an order, receiving can be done by posting the order to Receiving. Go to the Orders page and search for the order. You can open the Orders page by clicking on “Purchasing Orders” from the PO icon.

Or from the Inventory menu.

When on the Orders page, you can search for the order using the selected date, by Vendor name or by entering the order number in the search box.

When the order is selected, click on it to open it up and then click on the “Create Receiving Invoice” button to start receiving the invoice.

When the button “Create receiving invoice” is clicked, it opens the order in ‘update’ mode.

Here you can the adjust the quantity if what was ordered differs from what was delivered by a Vendor. Also, you can adjust and update the product cost if it differs from the current product cost. You can add the freight fee here as well.

After all necessary adjustments are complete, click on “Create Receiving Invoice” at the bottom of the screen and the order will be posted to Receiving. You may notice that there is red mark on the Receiving tab, and you can find this order on the Receiving page.

  1. Manual Receiving

Receiving invoices can be entered into the system manually. Please go to the Receiving page and select New>Receiving Invoice

After Vendor selecting, there are two ways to add the items to Receiving:

1) You can start adding products by using the “Add Item” box. SKU number or part of the description can be used to search for the items.

After clicking “Add selected item(s)”, they will appear on the Receiving sheet where you can click the “Save Invoice” button to finish receiving and the inventory will be added to your stock.

2) You can load all Vendor products into Receiving. When the Vendor is selected, find the “Load all items for the vendor” button and click it.

After that, all the vendor’s items will populate in Receiving.

Now you can fill out the quantity only for items to be ordered. If it’s a long list of products, you can use search buttons to find the item(s).

After you’re done entering quantities, please click on “Save Invoice”.
